Cancellation and Refund Policy
This draft describes how cancellations and refunds are intended to work for a confirmed OFQ Tours booking. It is a structure for legal review and does not yet create binding rights or obligations. The confirmed terms for your trip are those in your written quotation and booking confirmation.

About this policy
This policy should be read together with our Booking Terms and Terms and Conditions. Because trips are arranged with independent suppliers, the amount that can be refunded often depends on those suppliers' own cancellation terms.
How to request a cancellation
To cancel or change a confirmed booking, please contact us as early as possible using the details in your booking confirmation. The date we receive your request may affect what can be refunded.
Cancellation by you
If you cancel a confirmed booking, any charges will depend on how far in advance you cancel and on the cancellation terms of the suppliers involved. Some arrangements may be non-refundable once booked.
Supplier cancellation terms
Accommodation, transport, activities, and other elements are provided by independent suppliers who set their own cancellation and refund conditions. Where a supplier has already been paid or applies a charge, that amount may not be refundable to you.
Refunds
Where a refund is due, it will be calculated after taking account of amounts already committed to suppliers and any non-refundable elements. We will explain the basis of any refund.
Non-refundable items
Some items may be non-refundable, for example deposits used to secure supplier arrangements or services already delivered.
Changing instead of cancelling
In some cases it may be possible to change dates or arrangements rather than cancel. We will try to help, subject to availability and supplier conditions; changes may affect the price.
Cancellation by us
In rare cases we may need to cancel or materially change a confirmed booking, for example if essential arrangements become unavailable. Where this happens, we will explain the options available to you, which may include alternative arrangements or a refund of amounts not already committed to suppliers.
Events beyond reasonable control
Where events beyond reasonable control (for example severe weather, natural events, road closures, or official restrictions) prevent part of a trip, the amount recoverable may be limited by what suppliers are able to refund. We will make reasonable efforts to reduce any loss to you.
Missed services and no-shows
Services not used because a traveller does not attend, arrives too late, or leaves early are generally not refundable, as suppliers are usually still charged for them.
